Facility Management System "Facilitor® 4i"

Project Overview

Modern Web technologies make traditional Desktops and Local Area Network Applications migrate to Internet. Web Interfaces bring more flexibility to user, who can hereby access applications from World Wide Web via Internet. GIS component in such systems brings higher degree of information concentration and better visualization. As facility management systems have a strong tendency of moving to Web now, our team has developed Facilitor® 4i application Web interface for Dutch company Facilitor® Software Nederland. Current version of Facilitor® 4i supports processing of visitors registration, room and object reservation, complains, object management, contract and service management and management of personal information.

Functional Overview

Each user may have access to end user, front office, back office and management features in accordance with his credentials.

Facilitor® 4i let end user:

• look up company employees personal info
• register own visitors
• reserve room for a meeting
• reserve objects, such as for example video projector, for some event
• complain about office equipment and workplace malfunction
• view eviction plan view various reports about own reservations and complains
• request goods and services order
• request personal data changes

Facilitor® 4i let Front Office user:

• register and control end user reservations
• register and control end user complains
• request and order goods and services for end user

Facilitor® 4i let Back Office user:

• process incoming visitors information
• process end user reservations
• process end user complains
• request and order goods and services for end user and control orders

Facilitor® 4i let Manager:

• review back office activity with a wide set of filters

Personally authorized user can:

• register and maintain company organization structure.
• register and maintain buildings, rooms etc.
• edit personal information for company employees
• manage objects properties and location
• view graphical information about room spacing and cleaning, personal and object location and correspondent reports for selected rooms and object
• look up personal and object information on map with correspondent textual description
• request end user personal changes
• introduce new employee and define personal parameters and environment.
• register and maintain contracts and services based on these contracts.
• register and maintain room entry access.

Facilitor® implements bidirectional notification for user's request via Facilitor® News on Facilitor® page, email and GSM SMS. Requestor receives confirmations about processing of his calls on each important stage. BackOffice persons receive notifications about end user's calls correspondent to their responsibilities.

There has also been implemented RedLining feature for Facilitor® 4i Manager users. It is intended for textual and icon marking on a map, so as the result these notes are available for other users.

All data is stored in Oracle database. Basic spatial information was created in Autodesk’s AutoCAD Map as drawings interlinked with attributes stored in Oracle database and then converted in MapGuide base geometry format SDF.

Facilitor® 4i supports Windows NT Challenge/Response Authorization as well application defined authorization necessary for operation without user registration in Windows NT domain.

We work on farther Facilitor® extension in functional area as well as wider platform support. Facilitor® supports Microsoft SQL Server database as well as Oracle database.

Flexible properties avalibale for person, department, room, building, area, equipment units and so on give unique possibility of system customization. Facilitor® might be adjusted to various company needs. System administrator may introduce, define and search by any new parameters of standard logical elements. For example, persons may have dog name as a parameter and this way Facilitor® allows to find all employees who have dogs named Snoopy.

Facilitor® supports wide set of customization parameters that let user build system that satisfy company standards. Multiple onsite configurations give an opportunity to use Facilitor® in the Industrial Park Management with authorized access to internal company services and resources as well as services and resources provided by Park Management company.
